Position Summary

Reporting directly to the Executive Director, the Executive Assistant serves as a trusted partner responsible for maximizing the Executive Director's effectiveness at the Enchanté Network as well as Black Queer Canada. The position will be housed at The Enchanté Network. 

The Executive Assistant provides high-level executive support by managing communications, scheduling, logistics, follow-through, and executive administration across a diverse portfolio of national initiatives.

The successful candidate is highly organized, anticipates needs before they arise, communicates professionally with senior stakeholders, and thrives in environments where priorities shift quickly.

This is not an operations management role. Rather, it is a strategic executive support position focused on enabling the Executive Director to dedicate more time to organizational leadership, government relations, fundraising, partnerships, advocacy, and strategic growth.

Key Responsibilities Executive Support

  • Manage the Executive Director's complex calendar, competing priorities, and scheduling requests.

  • Coordinate meetings across multiple time zones with government officials, funders, Board members, community organizations, and partners.

  • Prepare daily schedules, briefing materials, meeting packages, and itineraries.

  • Coordinate all travel logistics, accommodations, transportation, and expense reconciliation.

  • Maintain systems that track executive priorities, commitments, and follow-up actions.

  • Anticipate scheduling conflicts and proactively recommend solutions.

  • Support the Executive Director with special projects and emerging priorities.

Executive Communications

  • Manage and triage the Executive Director's inbox.

  • Draft and send correspondence on behalf of the Executive Director where appropriate.

  • Prioritize incoming requests and identify urgent matters requiring immediate attention.

  • Track outstanding emails and ensure timely responses.

  • Maintain professional communication with government officials, funders, Board members, community organizations, and other external partners.

  • Ensure the Executive Director's communications are timely, responsive, and well organized.

Coalition & Stakeholder Coordination

The Enchanté Network convenes numerous national working groups, advisory tables, consultations, and cross-sector collaborations.

The Executive Assistant will coordinate the logistics required to ensure these initiatives operate smoothly by:

  • Scheduling meetings and consultations.

  • Coordinating invitations and RSVPs.

  • Preparing agendas and meeting materials.

  • Distributing meeting links and background documents.

  • Recording decisions and action items where appropriate.

  • Sending follow-up communications.

  • Maintaining stakeholder databases and contact lists.

  • Tracking commitments and ensuring agreed-upon next steps are completed.

Board Administration

Working closely with the Executive Director, the Executive Assistant will coordinate the administrative functions of the Board of Directors by:

  • Scheduling Board and Committee meetings.

  • Preparing and distributing Board packages.

  • Coordinating electronic signatures.

  • Responding to logistical inquiries from Directors.

  • Recording and distributing meeting minutes where appropriate.

  • Maintaining governance calendars and annual governance timelines.

  • Supporting the planning and administration of the Annual General Meeting.

Executive Administration & Organizational Coordination

Support the Executive Director in coordinating key organizational administrative processes by:

  • Coordinating recruitment logistics, including posting job opportunities, scheduling interviews, corresponding with candidates, and supporting onboarding documentation.

  • Coordinating the procurement of consultants and contractors, including sourcing candidates, scheduling interviews, preparing contracts, tracking signatures, and maintaining contract files.

  • Coordinating grant reporting timelines by tracking deadlines, gathering required documentation, following up with internal staff, preparing submission packages, and ensuring reports are submitted on schedule.

  • Coordinating annual organizational milestones, including the Annual General Meeting, Annual Report, governance deadlines, and organizational planning cycles.

  • Acting as the primary administrative liaison with external service providers such as auditors, legal counsel, consultants, translators, and other professional service providers.

  • Coordinating the annual audit process by scheduling meetings, facilitating document requests, liaising with auditors, and ensuring requested information is collected and submitted on time.

  • Maintaining organized executive and governance filing systems.

  • Supporting the Executive Director with additional administrative priorities as required.

Relationship Management

Support the Executive Director in maintaining strong relationships across Canada's 2SLGBTQI+ sector by:

  • Maintaining stakeholder databases and relationship records.

  • Tracking meetings, introductions, and follow-up activities.

  • Preparing stakeholder briefing notes.

  • Coordinating outreach and ongoing communications.

  • Ensuring key relationships receive timely and professional follow-up.

Qualifications

  • 3–5 years of experience supporting a senior executive, Executive Director, CEO, or equivalent leadership role.

  • Bilingual (English and French) 

  • Exceptional organizational and project coordination skills.

  • Strong judgment, diplomacy, and discretion when handling confidential information.

  • Ability to manage multiple competing priorities with professionalism and composure.

  • Track outstanding emails and ensure timely responses.

  • Maintain professional communication with government officials, funders, Board members, community organizations, and other external partners.

  • Ensure the Executive Director's communications are timely, responsive, and well organized.

Coalition & Stakeholder Coordination

The Enchanté Network convenes numerous national working groups, advisory tables, consultations, and cross-sector collaborations.

The Executive Assistant will coordinate the logistics required to ensure these initiatives operate smoothly by:

  • Scheduling meetings and consultations.

  • Coordinating invitations and RSVPs.

  • Preparing agendas and meeting materials.

  • Distributing meeting links and background documents.

  • Recording decisions and action items where appropriate.

  • Sending follow-up communications.

  • Maintaining stakeholder databases and contact lists.

  • Tracking commitments and ensuring agreed-upon next steps are completed.

Board Administration

Working closely with the Executive Director, the Executive Assistant will coordinate the administrative functions of the Board of Directors by:

  • Scheduling Board and Committee meetings.

  • Preparing and distributing Board packages.

  • Coordinating electronic signatures.

  • Responding to logistical inquiries from Directors.

  • Recording and distributing meeting minutes where appropriate.

  • Maintaining governance calendars and annual governance timelines.

  • Supporting the planning and administration of the Annual General Meeting.

Executive Administration & Organizational Coordination

Support the Executive Director in coordinating key organizational administrative processes by:

  • Coordinating recruitment logistics, including posting job opportunities, scheduling interviews, corresponding with candidates, and supporting onboarding documentation.

  • Coordinating the procurement of consultants and contractors, including sourcing candidates, scheduling interviews, preparing contracts, tracking signatures, and maintaining contract files.

  • Coordinating grant reporting timelines by tracking deadlines, gathering required documentation, following up with internal staff, preparing submission packages, and ensuring reports are submitted on schedule.

  • Coordinating annual organizational milestones, including the Annual General Meeting, Annual Report, governance deadlines, and organizational planning cycles.

  • Acting as the primary administrative liaison with external service providers such as auditors, legal counsel, consultants, translators, and other professional service providers.

  • Coordinating the annual audit process by scheduling meetings, facilitating document requests, liaising with auditors, and ensuring requested information is collected and submitted on time.

  • Maintaining organized executive and governance filing systems.

  • Supporting the Executive Director with additional administrative priorities as required.

Relationship Management

Support the Executive Director in maintaining strong relationships across Canada's 2SLGBTQI+ sector by:

  • Maintaining stakeholder databases and relationship records.

  • Tracking meetings, introductions, and follow-up activities.

  • Preparing stakeholder briefing notes.

  • Coordinating outreach and ongoing communications.

  • Ensuring key relationships receive timely and professional follow-up.

Qualifications

We're less interested in where you've worked than how you work.

The ideal candidate will demonstrate:

  • 3–5 years of experience supporting a senior executive, Executive Director, CEO, or equivalent leadership role.

  • Bilingual (English and French) 

  • Exceptional organizational and project coordination skills.

  • Outstanding written and verbal communication skills.

  • Strong judgment, diplomacy, and discretion when handling confidential information.

  • Ability to manage multiple competing priorities with professionalism and composure.

  • Excellent relationship management and customer service skills.

  • Strong attention to detail and commitment to excellence.

  • Ability to anticipate needs and solve problems proactively.

  • Advanced proficiency with Google Workspace and Microsoft Office.

  • Experience with project management software such as Asana is considered an asset.

  • Experience working within the nonprofit, government, public policy, or social impact sectors is considered an asset.

  • Ensured national consultations, coalitions, and Board meetings are coordinated seamlessly.

  • Improved follow-through on executive commitments, grant reporting, contracts, governance obligations, and organizational priorities.

  • Become a trusted thought partner who helps ensure the Executive Director and The Enchanté Network operate with professionalism, responsiveness, and excellence.

Compensation & Benefits

Salary: $55,000 - $65,000, commensurate with experience.
